For me, this one is personal. Heirloom Church was planted out of Epic Life, so I already know your people and the way you steward what comes in. That's a big part of why I think this is the right fit.

How the monthly rhythm works: once your team sends over receipts, memos, and approvals (I aim for the first few business days of the month), Brent gets first-pass financials by week 2, and a board-ready package is in your elders' hands before the third-Monday meeting. Every month, same rhythm.
Step 2 · The transition gameplan

One clean cutover, fully migrated inside a month

I know the last switch dragged out 18 months. That's not happening here. Your books are already in decent shape, so this is cleanup and configuration, not a rebuild. Here's exactly how I'll run it: one clean cutover on July 1, payroll live on the 15th, and full migration inside a month with minimal disruption to your team.

My commitment to you

You'll have your first clean monthly report within weeks, not months. QuickBooks stays right where it is, I'm not ripping anything out mid-stream, and I'll do all the heavy lifting on the account setup so it doesn't land on your team.

No setup fee, no migration fee. The transition is on me, because the relationship matters more than the line item.

QuickBooks is already connected. All that's left is Bill.com and view-only access to the bank and loan statement accounts. That's a 1–3 day setup, and most of it is a few clicks on Heather's side.

One clean cutover

I take over the books as of July 1. One clean date, no half-migrated mess. Month one may take me a little longer than usual while I get familiar with how your accounts and programs are set up, but you'll still have your books and your dashboard by the second week of July.

July 15

Payroll goes live in Gusto

First payroll run lands on the 15th. I picked that date on purpose: it's a clean end of quarter for payroll tax reporting, and it gives everyone time to get established in Gusto, your new payroll provider. I'll do all the heavy lifting on the account setup.

Budget, long-range structure & reporting

I'll sit down with Heather and Brent for account reviews, make sure every program is assessed and allocated correctly, then build a clear budget that maps to your account structure, departments, and long-range plan, plus the reporting that tracks against it. That's what gives you real line of sight into liquidity and capital campaign progress.

And since so much of a church's health lives outside the ledger, I can pull attendance and other numbers out of Planning Center into the same view, so your elders get a broader read on the health of the church, not just the finances.
